When configured by an Admin, you can translate PDF, Microsoft Word (DOCX), and Microsoft PowerPoint (PPTX) documents directly in Vault using a document translation service. When initiating a translation, you can select one or more target languages, and Vault returns the translated output as either a new document or a new version of an existing document, while preserving the document layout, formatting, and document fields. Once the translation is complete, Vault sends you a notification with a translation summary and a link to the new or updated documents.

Depending on your Vault’s relationship type configuration, Vault creates a Translation relationship on the source document that links to the target document, and a Translation Of relationship on the target document that links to the source document.

How to Translate a Document

You can translate a document using the Translate Document with DeepL or Translate Document with Google Cloud Translate user action. When translating a document, you can select one or more languages into which you want to translate the document content, and whether the translated document is created as a new document or a new version of an existing document. Depending on your Vault’s document field configuration, all document fields are copied from the source document to the translated target document.

To translate a document:

  1. From the Library or document viewer, select All Actions > Translate Document with DeepL or Translate Document with Google Cloud Translate. The action’s label may be different depending on your Vault’s configuration.
  2. In the Document Translation Input dialog, select or modify the Source Language of the source document as needed.
  3. Select one or more Target Languages for the translated document content.
  4. For Create New Document, select Yes if you want to create the translated document as a new document, or select No if you want to create the translated document as a new version of an existing document.
  5. If you selected No for Create New Document, search for and select the document you want to up-version with the translated document in the Up-Version Existing Document field. You cannot up-version an existing document if you selected multiple target languages.
  6. Click Continue to begin the translation process. Vault sends you a notification with a link to the new or updated document once the translation is complete.

Document Role View Document This permission is required on the source document to initiate a document translation.
Document Role Edit Document This permission is required on the target document specified in Up-Version Existing Document after selecting No for Create New Document when initiating document translation.
